Job Summary:

The Project Assistant and Coordinator will support and streamline the execution of internal projects at IDA while providing visibility into resource workload and deliverables. This role ensures timely project delivery, effective communication across teams, and proactive follow-upon critical issues raised managers. The coordinator will be instrumental in tracking assignments, monitoring deadlines, and aligning project goals with company priorities.

Key Responsibilities:

1. Project Coordination and Planning:

o Assist in developing project plans, timelines, and milestones in collaboration with project managers and team leads.

o Ensure all project phases are delivered on time and within scope.

2. Resource and Workload Management:

o Track and provide visibility into the workload of IDA resources to ensure effective utilization.

o Create and maintain a weekly report of deliverables, deadlines, and resource

assignments.

3. Critical Issue Management:

o Follow through on critical issues raised by managers, ensuring they are assigned to the appropriate teams or individuals.

o Monitor progress on these issues and provide regular updates on expected delivery timelines.

4. Communication and Collaboration:

o Act as a liaison between departments, ensuring clear communication of project objectives and priorities.

o Schedule and facilitate meetings, prepare agendas, and document actionable outcomes.

5. Documentation and Reporting:

o Maintain and organize project documentation, including briefs, resource allocation reports, and meeting notes.

o Track and report project progress, including updates on critical issues and potential risks.

o Ensure the IDA Bulletin is kept updated at all times to provide visibility of the Certified IDA Core Version.

6. Process Improvement:

o Identify inefficiencies in workflows and propose improvements to optimize project management practices.

o Develop templates, tools, and processes for consistent tracking and reporting.

Qualifications:

  • Experience: 2+ years in project coordination, assistant roles, or project and resource

management.

  • Education: Bachelor’s degree in business administration, project management, or a related field.
  • Skills: Proficiency in Microsoft Office Suite, project management tools, and resource tracking systems.
  • Must have good English communication skills
